Tenant information
Just a few points to mention before you begin the application process
We operate on a first come first served basis, this means we aren’t hand-selecting applicants based on whether we like them or on their appearance. We “pre-approve” all applicants based on the factual information you provide on the documents within this pack. With this in mind, we need every applicant over the age of 18 to complete an application form and if a guarantor is required please ensure you have the guarantor form filled in to send to us also.

Applicants usually need to earn 30 times the monthly rent per year. So if the property is £900PCM the income required collectively is £27000 per year (gross).
Guarantors are required to be present in our office to sign the contracts and provide their identification and proof of address, please bear this in mind when selecting your guarantor!
If you think you may have a CCJ, or bad credit history – Please do mention this! If you put “no” to this question on the form, and then one appears on the reference checks conducted, we may decline your application! It is important you are honest on your forms, we don’t want to keep your money any more than you want us to – but a lot of time is wasted when people don’t divulge full and frank information!
We generally do blocks of viewings in most properties, so timing is important. We cannot accept the holding deposit without being able to pre-approve you by looking at your signed forms. So please ensure you fill out every answer on each form and no information is missing, and then ensure you sign them! If we receive partially filled-in forms we will not accept the holding deposit and your application will be delayed!
Once we have a completed application pack and the holding deposit is paid, we will not accept any further applications, unless the applicants withdraw or fail their checks.
Once the checks are complete, we will look to pencil in a move-in date. While we will do our best to meet your deadlines, we cannot ever guarantee these. If you have any concerns about move-in dates for this particular property please speak with a member of the team.
Permitted Payments
Before the tenancy starts (payable to Bergins Estate Agents 'the Agent')
- Holding Deposit: 1 week's rent (this forms part of the first months' rent) Deposit: 5 weeks' rent
During the tenancy (payable to the Agent)
- Payment of up to £65 if you want to change the tenancy agreement, including (but not limited to) - Change of names, change of tenants, authorisation to house a pet, authorisation to decorate.
- Payment of interest for the late payment of rent at a rate of 3 % over base rate for rents 7 days over the due date (without prior agreement)
- Loss of keys/Security devices - Payment of £10 per key & £30 per fob.
- Payment of up to £75 for failure to attend a scheduled appointment. Including appointments booked with the Agent, Landlord or Contractor. Failure to be present to allow a contractor access following an agreed appointment.
- Payment of any unpaid rent or other reasonable costs associated with your early termination of the tenancy.
During the tenancy (payable to the provider) if permitted and applicable -
- Utilities - gas, electricity, water
- Communications - telephone and broadband
- Installation of cable/satellite
- Subscription to cable/satellite supplier
- Television licence
- Council Tax
- Other permitted payments
- Any other permitted payments, not included above, under the relevant legislation including contractual damages.
Tenant protection
Bergins Estate Agents is a member of The Deposit Protection Scheme (DPS), Which is a client money protection scheme, and also a member of The Property Ombudsman (TPOS), which is a redress scheme. You can find out more details on the agent's website or by contacting the agent directly.

Getting Started
Now you have submitted an application to rent one of our properties, you will receive two emails. One from Bergins confirming the application is being processed, and one from a professional third-party referencing company, The Lettings Hub.
The property is only withdrawn from the market once the referencing has been cleared and a deposit has been paid. Withdrawing from the Application process or failing the referencing checks will not result in a refund. The questions asked prior to application are there to ensure you are a suitable applicant, if false or misleading information is provided by you and as a result, your application is failed you will lose your holding deposit.
You have 15 calendar days to ensure all the checks are completed and returned. You may need to inform your employer or current landlord that they should expect a reference request.
Tenancy
Rental payments must be paid each month, on time and in advance. The rental due date is the same date of the month as the tenancy commencement date unless otherwise agreed with the Landlord and/or Bergins Estate Agency.
Pets are not permitted unless otherwise agreed with the Landlord and/or Bergins Estate Agents, and the monthly rent may be increased to allow for pets. We will not unreasonably refuse pets.
Bergins Estate Agency reserves the right to carry out reasonable inspections of the property, at quarterly intervals, or otherwise, if we suspect the property is not in a satisfactory condition.
You are required to inform us immediately of maintenance issues that may occur during your tenancy. Failure to do so may result in avoidable damage to the property or its contents which will then be rectified at your cost.
Leaving your property
The Deposit is refundable at the end of the tenancy, subject to a final property inspection. If the property is not left clean and tidy and free of all your personal belongings you may be liable for further costs.
You are required to give a full tenancy months’ notice in writing prior to vacating – this means a minimum of 1 full month’s rent shall be due following the notice being served in writing.
You, as the tenant, are required to be present at the agreed check-out appointment. If you are unable to attend this may cause a delay in the deposit being released back to you.
Check-out appointments can only be conducted Mon – Fri 10-4 pm
