Basic Privacy Notice - Lettings
Why we hold and process information
This notice sets out how we hold and process your information. We process personal information about our tenants and guarantors and possible new tenants and guarantors. So we can assess suitability/eligibility and therefore provide residential accommodation. This includes:
- Dealing with lettings;
- Processing Applications for tenancies;
- Assessing suitability for tenancies (including credit checks, Immigration checks and any other relevant checks);
- Reference Checks (The Lettings Hub);
- Managing the property/tenancy;
- Rent collecting;
- Maintaining our accounts and records;
- Processing tenancy deposits (DPS).
Relevant information may include (but is not limited to): Personal details, employment details and financial details.
By Law we have to carry out immigration checks on new tenants, and we have to keep copies of these documents, we may keep these on computer.
Sharing Information with others
We may need to share the personal information we process with others. If we have to do this we will keep within the Data Protection Guidelines
We may share information with:
- Other Landlords;
- Employers;
- Suppliers (including Gas, Electricity and Water companies) and service providers;
- Public and governing bodies and local Councils (Council Tax, or benefit claims);
- Referencing Company (UK Tenant Data);
- Government approved Deposit Scheme (DPS);
- Debt collection and tracing agencies;
- Contractors and repairers
- Any future owner of the property
We may not always need to share information with all the above, but we may do so if we feel it is necessary.
Why we use your personal information
We may use your information in a number of ways, for example, to decide whether to Let a property to you, prevent fraud, for accounting and auditing purposes, for managing the property, and for debt collection.
We will only gather relevant information and we may need to share this information with others. If we do this, we will keep to data protection Legislation (GDPR 25th May 2018)
